2. Data we process and why
The data involved depends on how you use the website and Hackni STICS activities. We do not require a user account.
- Website operation and security: technical information such as IP address, request time, requested URL, device or browser type. We process it for secure and reliable operation based on SAPIE’s legitimate interests.
- Communication: your name, contact details and message when you contact us. We use them to handle and record your request based on SAPIE’s legitimate interest in communicating with prospective participants and partners.
- Hackathon registration: once registration opens, the “I want to join” button will lead to a Google Forms form. Responses will be stored in SAPIE’s organisational Google Workspace account and Google Drive. We process the data needed to receive and assess applications based on SAPIE’s legitimate interest in organising the hackathon, selecting participants and communicating with them. Registration does not create a contractual relationship.
- Event administration: we process information needed for attendance, communication, team formation, logistics and safety based on SAPIE’s legitimate interest in delivering the event properly. For participants under 18, we may also request details and participation consent from a parent or legal guardian.
- Dietary restrictions: if an allergy or health-related restriction must be disclosed, we will request separate explicit consent. We use this information only to arrange meals and delete it no later than one month after the event.
- Photography and video: before photography or recording starts, we inform participants about event documentation and how to object or ask not to be captured. We request separate, freely given consent for portraits, interviews and promotional footage focused on an identifiable person. A parent or legal guardian must consent for a participant under 18.
- Marketing: we currently do not collect consent for a general newsletter through this website or the registration form. Contact details obtained during registration are used only for registration, event administration and necessary communication about the selected hackathon.
3. Required and optional information
Required fields will be clearly marked in the form. Without information needed to assess the application and arrange attendance, we cannot assess the application or administer participation. Dietary information and consent to individual photographs or video are optional and do not affect the possibility of attending.
4. Recipients
SAPIE remains the sole data controller. Access is limited to authorised SAPIE personnel and suppliers who need the data for a defined purpose and are bound by appropriate data protection duties.
- hosting, IT support, email and security service providers,
- Google Ireland Limited when we use Google Workspace, Google Forms and Google Drive,
- event suppliers, such as the venue or caterer, only to the necessary extent,
- evaluators, project partners or public authorities only where disclosure is necessary for organisation, a binding project obligation or compliance with law.
5. Transfers outside the EU and EEA
Some technical providers may process data outside the European Economic Area. Where this occurs, SAPIE requires a GDPR transfer mechanism, such as an adequacy decision or standard contractual clauses, together with appropriate supplementary safeguards.
6. Retention
We delete registration and event administration data, related communications and dietary information no later than one month after the relevant hackathon. Communications unrelated to a specific event are deleted no later than one month after the matter is finally resolved. Technical logs are retained only for as long as needed to operate the website securely, normally no longer than one month unless investigating a security incident requires longer retention.
Photographs, video and consent records are retained while the material is used for the stated purpose, until consent is withdrawn or until that purpose ends. If the law or a binding project obligation requires longer retention of specific information, we keep only the necessary minimum for that period.
7. Your rights
Send requests to info@sapie.sk. We may reasonably verify your identity before responding.
- access your data and information about its processing,
- request correction, deletion or restriction,
- object to processing based on legitimate interests,
- receive portable data where the legal conditions are met,
- withdraw consent at any time where processing relies on consent,
- lodge a complaint with the Slovak Data Protection Authority.
8. Automated decision-making
We do not use decisions based solely on automated processing that produce legal or similarly significant effects when operating the website or accepting applications.
9. Changes to this policy
We may update this policy when the registration process, suppliers or legal requirements change. The current version and update date will always appear on this page.
